What is Managed Document Services?

Ricoh Managed Document Services (MDS) is a series of service offerings focused on all aspects of a client’s document output environment. Services involve developing, monitoring, consolidating, controlling and optimizing the printing and imaging infrastructure.

The Elements of Ricoh’s Managed Document Services

Ricoh’s Managed Document Services program is delivered in four key phases, Asses, Design, Implement, and Manage. This phased approach helps with the overall organization and efficient delivery of our MDS program within a client’s office environment and is designed to minimize any potential disruption to a client’s daily business routine. Each phase has a corresponding set of service offerings which are in turn broken down into individual service elements


Phase 1: Assess
An effective MDS program should always begin with a thorough, detailed assessment of the current state of a client’s document output environment. Ricoh employs a dedicated team of Business Analysts whose sole job is to perform this assessment, called Office Consulting. At the conclusion of the assessment, a Business Analyst will document the details of a client’s unique environment and provide them with a current state analysis report.


Phase 2: Design
Using the results of the current state assessment as baseline data, a Ricoh project team will develop a recommended future state report for the client’s organization. Ricoh can also provide a sample implementation plan and ROI projection based on visible cost savings, as well as unaccounted for costs, such as productivity gains.


Phase 3: Implement
Effective project management is required to ensure that the transition to a new environment is accomplished efficiently, with as little impact to the day-to-day business. This is why Ricoh provides transformation services through a team of dedicated professionals who have experience implementing multi-site projects.


Phase 4: Manage
The key to a successful MDS program lies in the effective on-going governance of the output environment. This is achieved in the Manage phase, where the measurable benefits detailed in the Design phase are continuously delivered. With the assistance of a variety of tools & utilities, Ricoh will provide on-going assessment and recommendations to help the client stick to the plan so that the projected cost savings and productivity gains are realized on a continuous basis. Depending on the scope of service, Ricoh can dedicate full-time personnel on-site at a location of a client’s choosing or provide the service off-site as part of Ricoh’s customer support. The Manage phase includes four distinct service components, Operation Management, Fleet Management, Support Services, and Continuous Improvement.
